Terms And Conditions For Hall Hire

Thank you for enquiring about Craigievar Public Hall. In order to secure your booking, please complete and return this form to craigievarcah@gmail.com for the attention of Laura Falconer. If you would like to chat through your booking beforehand, please give Laura a call on 07484184241.

Once we have received your form and your deposit, we will confirm your booking.

Should any of your guests needs additional support e.g. wheel-chair access then please highlight this on your booking form.

Hall charges

Hall charges are as follows:

• Daytime Use (Mon – Sun) - £12p/h (Refundable deposit £50)

• Evening Use (Mon – Thurs and Sun) - £12 p/h (Please contact Bookings Secretary re deposit required)

• Evening Use (Fri and Sat) - £25 p/h (Refundable deposit £100)

Payment

Payment for the full hire is required 28 days in advance of your event. Please pay this once your booking is confirmed by bank transfer to

Conditions of Hire

• Application for hire of the Hall must be made by individuals over the age of 25.

• The hirer must be present throughout the event.

• The maximum number of people in attendance in the hall is 100. This number includes staff, band members, entertainers etc.

• The hirer should ensure that they have adequate public liability insurance for their event if required when using the hall. Copies of the insurance should be provided to the Hall Committee on request.

• Anyone hiring the hall is responsible for checking any statutory duties pertaining to the event or activity they are organising and must comply with any such statutory duties. For example, in relation to licencing, food hygiene and child protection.

• The hirer is responsible for observing all fire safety regulations and for providing any security as may be required for the event. (Please see Fire Safety Guidance).

• The hirer is responsible for supervision of the premises during the hire period, for any damage to property and for health and safety during the event. This includes the car park. In some circumstances the Hall Committee will require additional security measures for events, which will be arranged by the Hall Committee, the costs of which are the responsibility of the hirer. A reminder that the hall is a non smoking, non vaping facility. No open flames are allowed in the hall other than birthday cake candles, without prior permission from the committee. • The hirer is responsible for reimbursement to the Hall Committee for any repairs required as a result of damage to the hall, or any fixtures and fittings, during the hire period.

• The hirer is responsible for setting up and subsequent cleaning of the hall during the hire period (Please see cleaning notes). • If the hall is found to be in an unsatisfactory condition by the

Hall Committee after the event, all or part of the deposit will be

retained to cover repair or cleaning costs. The amount to be retained is at the discretion of the Hall Committee.

• Once your booking form and deposit has been received, then further information will be sent to you regarding access to the hall and instructions on how the heating and other appliances operate.

By completing and returning this booking form, you are confirming you have read and agree to the above conditions of hire.

By completing and returning this booking form, Craigievar Association and Hall will hold personal information about you and your booking. This information will be processed and held in line with the Association’s Data Protection Policy. This information will be held for up to a maximum of 2 years.
